WinCap Level Zero Staff Data Service

Staff Snapshot, Staff Tenure, Staff Assignment and Staff Attendance

1. Run Exports of the Staff Snapshot, Staff Tenure, Staff Assignment and Staff Attendance data from WinCap.
2. Import to Level 0.
3. Correspondence with district staff regarding any problems in the data that would be found with the Level 0 load.
4. Additional WinCap exports and Level 0 loads until the data is clean.

APPR Scores

1. Assist District in getting Evaluation Rating scores into WinCap import template so that the district can import data into WinCap.
2. Extract of APPR scores for your teachers and administrators.
3. Import to Level 0.
4. Correspondence with your staff regarding any problems in the data that would be found with the Level 0 load.
5. Additional Wincap extracts and Level 0 loads until the data is clean.

It is important to note that your staff is responsible for entering the appropriate/correct data into WinCap in preparation for the extracts. Our WinCap team can give them the fields that are mandated each year, so they know what has to be completed. Since RIC staff does not know your data, your staff will also be responsible for verifying the data in Level 0 once we receive a "clean" report with no errors, and then locking that data so that it can be pulled into Level 1 Data Warehouse for submission to SED.

WNYRIC staff must have uninterrupted read-only access to district's live financial/HR database.

1. District must allow the WNYRIC to have uninterrupted view access to their live financial database.

2. District must maintain current and accurate data in the Financial - HR system for the APPR and Staff Snapshot, Staff Tenure, Staff Assignment and Staff Attendance export generation.

3. If importing Evaluation Ratings into WinCap using the WinCap import template, the WNYRIC will assist in getting the data into the WinCap import template format and the district will execute the import.

4. Notify the WNYRIC when the data in the Financial - HR application is ready to have the APPR export file generated and uploaded to Level 0.

5. District must correct the data in the financial software to remedy errors discovered during the upload to Level 0 for both the APPR and the Staff Snapshot, Staff Tenure, Staff Assignment and Staff Attendance exports/imports.

6. It is the district's responsibility to verify the data that has been imported to Level 0.

7. Once the data has been verified for accuracy in Level 0, it is the district's responsibility to LOCK the data.

1. If importing Evaluation Ratings into WinCap and using the WinCap import template, the WNYRIC will assist in getting the data into the WinCap import template format and the district will execute the import.

2. WNYRIC will generate the APPR export file and upload to Level 0 on an annual basis.

3. WNYRIC will generate the Staff Snapshot, Staff Tenure, Staff Assignment and Staff Attendance export files and upload them to Level 0 each month prior to the import of student data.

4. District will be notified of all error messages discovered when the RIC uploads the files for either the APPR or the Staff Snapshot, Staff Tenure, Staff Assignment or Staff Attendance.

5. Multiple extracts out of the financial/HR module and uploads to Level 0 will take place until the district has corrected all issues that are causing the error messages to occur.
