WinCap Business Office Consultation
A WNYRIC Consultant will work with district administration to facilitate a smooth changeover of staff and/or job duties, or changes in district processes during a transitional period of time.
The WNYRIC consultant may also be available to review the duties of a district's existing Business/HR/Payroll Office team, recommend process changes, and mentor the staff on their duties, if desired. This service will supplement existing district staff, and is not meant to replace any district position. The service will be offered on a temporary per diem basis for a fixed timeframe. Fees will cover meetings, conference calls, offsite work done on behalf of the district, or when the WNYRIC consultant travels to the district to facilitate workflow on site.

Allow the WNYRIC Consultant to have uninterrupted edit access to their live Financial database.

Allow the WNYRIC Consultant to have access to district reports, employee and vendor contracts, banking agreements, district policies and process documents.

Allow the WNYRIC Consultant to have access to the contact information for banks, third party benefit or insurance companies, and internal staff.

Appropriate district staff must be available to RIC Consultant to answer questions if necessary.

Appropriate district administrators must be available to RIC Consultant to make internal strategic policy and/or process decisions if necessary.

Work with RIC Consultant to secure appropriate signatures for check and purchase order printing.

Work with RIC Cosultant to secure VPN accounts for any external agencies needing access during the transition.
WNYRIC Responsibilities (varies depending on selected services)
Changeover of staff and/or job duties or district processes during a transitional period

Ensure that all VPN accounts for any external agencies needing access during the transition process are created.

Ensure that all new signature files are created and imported into the financial application.

Ensure that bank signature cards are resigned, as needed.

Ensure that all levels of approval for purchase orders and checks are covered and the responsible employees are trained.

Work with district administrators to keep the flow of operations running smoothly during the transition period.

Work with banks to ensure that there is appropriate cash flow to cover the purchase orders and other required payments.
Business/HR/Payroll Office team review, recommendations and mentoring

Complete a job study for existing Business Office staff, or for a selected number of employees.

Work with administrators to determine where job duty changes need to be made.

Determine the gaps in responsibilities that need to be filled.

Assist in the transition of employees into new duties.

Mentor those employees in their new duties.

Facilitate training in the financial software.

Facilitate meetings with external agencies, banks, auditors, and district staff, if needed.

Create progress reports for the administration, including any recommended next steps.
