Unified Talent Employee Records Solution
Unified Talent Employee Records is an additional solution provided by PowerSchool Group LLC, designed to simplify the onboarding workflow. The Employee Records solution integrates with Applicant Tracking solution merging the new hire information from Applicant Tracking into Employee Records solution. This solution helps districts manage electronic forms by automating the once paper-based human resource processes like onboarding, offboarding, and contract renewals. With the Employee Records solution, districts can assign and track documents, electronically sign forms, and centrally monitor it all online.
This service does not require Applicant Tracking and may be used as a stand-alone product. It may integrate with other vendor's software.
A new service that streamlines the HR workflows and provides a nice onboarding experience for the district, new hires, and current employees. The paper-free system allows a district to be free of manually tracking documentation and request processing, and welcome a more productive HR staff with organized documentation and more time to focus on other tasks.
REQUIREMENTS:
Hardware:

Software:
- Cloud-based application

DISTRICT RESPONSIBILITIES:
- Send contact information to WNYRIC to ensure technical contacts are created
- Designate a contact person for communication with WNYRIC
- Provide a technical contact and financial software contact for SSO (if applicable)
- Notify the WNYRIC if the contact person changes
- Internet access for central office, building administrators, and staff
- Require administrator attendance at training
- Maintain system security
- Attend training sessions.
- Complete configuration tasks
- New Hire Documents (Direct Deposit, Employee Information Sheet)
- Benefits Documents (Benefit Information or Benefit enrollment form)
- Employee Separation (FMLA or retirement)
- Action Forms (Employee Change Form)
- Uploading Library Resources (Employee Handbook)
- System Admin Training
- Departmental training (Payroll and Benefits)
- Provide email example for alerting all other employees on Records and utilizing available forms
- Building checklists
- Developing and assigning Security Permissions and Groups
- Creating/Facilitating Workflows
- Using System Reports
- Managing/Editing System Notifications
- Managing Available Forms
- Scanning content into Records
- Using Contracts
- Staff Updates
- Demonstrate understanding of System Administration as future changes will be the responsibility of the system administrator
- Review and Verify configuration
- Complete testing outside of meetings: Testing onboarding Checklists, Test Available Forms and Contracts, Test Filing and Reporting
- Report critical issues to your implementation team
- Review Complete project deliverables
- Understand that support will become primary contact for WNYRIC and district
- Complete Final project signoff
- Log and Follow up on Support Cases as needed
WNYRIC RESPONSIBILITIES:
- Send Welcome Email with Statement of Work
- Identify WNYRIC Support Team & PowerSchool Team (if necessary)
- Setup Technical Contacts for the district
- Send Welcome to Support Document
- Provide all templates and guides necessary for implementation
- Schedule and conduct a launch review meeting
- Provide launch documentation
- Update user accounts to ensure matching between systems
- Configure SS using LDAP or SSO (if applicable)
- Review and finalize any remaining deliverables
Build System Content:
- Up to 20 Custom Forms
- Up to 5 checklists
- Configure associated documents, sleeves, folders, workflows, and groups for the forms above.
- Additional form cost - $150/form (650.692.23)
POWERSCHOOL RESPONSIBILITIES:
- Create the Employee Records environment for the district.
- Provide login credentials for the WNYRIC/District
- Provision App Switcher (if needed)
- Configure SS using LDAP or SSO (if applicable)
