Quarterly Administrative Revisions - Level 2
Erie 1 BOCES Policy Services provides information to districts to assist them with updating and maintaining their own Administrative Manuals. Districts will receive an email notifying them that a new quarterly summary of suggested revisions may be viewed in Policy Services' SharePoint. The suggested revisions are based on a review of law, regulation, guidance, and best practices impacting Policy Services existing sample regulations and forms. Revised regulations and forms will be included with the quarterly summary with marked changes identified in the text of the policy or form for ease of review. If a regulation or form is substantially revised, only a clean copy will be provided. As part of this service, subscribing districts will also receive our Monthly Administrative Updates at no additional cost.
Current and past Administrative Policy Revisions are available in Policy Services' SharePoint.
Four times per year, districts will receive an email notification announcing that documents related to the Quarterly Administrative Revisions are available to be viewed in Policy Services' SharePoint:
- A cover letter with a summary explaining the rationale for each suggested administrative revision;
- A "marked" copy of each regulation and/or form;
- A "clean" copy of the same regulations and/or forms for ease of district editing and printing (cut and paste newly adopted/revised language into existing regulations, and/or forms within the Administrative Manual).

The district will provide Policy Services with current contact information (full names and titles, telephone numbers and email addresses) of up to three designated district officials to receive notice when Quarterly Administrative Revisions have been uploaded to SharePoint. The district must contact Policy Services immediately if this information changes to ensure uninterrupted receipt of the Quarterly Administrative Revisions. The three designated district officials will be the same as those selected to receive the Monthly Administrative Updates.
The three designated district officials will receive an email notifying them that the Quarterly Administrative Revisions are available in Policy Services' SharePoint. Districts must utilize Policy Services' SharePoint to access Quarterly Administrative Revisions. Districts must select at least one of the designated district officials, as outlined above, to download the documents from SharePoint and distribute them to district staff as needed.
If a district is subscribed only to Quarterly Administrative Revisions and accepts a suggested revision to a regulation or form included as part of the Quarterly Administrative Revisions or a Monthly Administrative Update, it is the district's responsibility to update any paper or electronic versions of its Administrative Manual. This includes any versions on the district's internal website.
Districts may contact their assigned policy coordinator to ask questions and/or request a limited number of sample regulations and/or forms. Districts should develop and follow a system of periodic review using the Quarterly Administrative Revisions and the Monthly Administrative Updates to as part of their process to ensure that their Administrative Manuals remain up to date with law, regulation, guidance, and best practices.
Policy Services will provide subscribing districts with Quarterly Administrative Revisions four times per year. The Quarterly Administrative Revisions will include a cover letter with a summary of the suggested revisions, "marked" copies of the regulations and/or forms revised, and "clean" copies of the regulations and/or forms revised. The summary of the suggested revisions will provide a rationale for the revisions. The "marked" copies of the regulations and/or forms will show the suggested revisions on Policy Services sample regulations and/or forms with changes identified in the text utilizing different colored text. If a regulation or form is substantially revised, only a clean copy will be provided.
Policy Services will email subscribing districts to notify them when Quarterly Administrative Revisions are available for review in Policy Services' SharePoint. Policy Services will provide instructions on how to process the Quarterly Administrative Revisions in SharePoint or upon request.
In addition to the Quarterly Administrative Revisions described above, as part of this service subscribing districts will be assigned a policy coordinator. The policy coordinator will be available to answer district questions and/or supply a limited number of sample regulations and/or forms as requested.
