Public Relations On-Site Service
Let us help your district build and implement a systematic, planned process of communication. We will not only become a member of your team by tackling communication tactics every week, but we will also provide the experience to manage a variety of communication projects. We can help with writing, photos, website content and organization; intranet content management; social media content and organization; press releases and media relations; newsletters, brochures and related publications; video coordination; surveys & reports, presentations and mailings.
Provided by BOCES
· Communication Services will provide a shared 0.2FTE to work within your district one consistent day a week, from 8 a.m. to 4 p.m., for the entire school year.
· Based on the districts needs, a professional will be provided from our team who already has the knowledge and experience in many or all of the following areas: writing, print projects, photography, Web site navigation and content management, video management, project coordination, message points, social media assistance and engaging various media outlets.
· Up to six (6) days of experienced project planning and strategy are included/available each year.
· Up to 20 hours a year, your onsite associate will receive push-in tips/guidance from a communications veteran.
· The BOCES FTE will bring with them the standard equipment required to conduct a traditional Communications-focused role. Please see the "responsibilities/district will provide" notes.

· Telephone number, voice mail and an e-mail accounts.
· BOCES will fulfill all functions associated with employment such as payroll, time sheets, evaluations, standard staff development, track vacation/personal/sick time, etc…
District will Provide
· The district must provide a workspace including a desk for this employee to sit at and connect to the internet.
· The district must provide a high speed internet connection via a wall plug-in or wireless access.
· The district must provide an onsite contact to direct and approve the work the district needs completed.
· The district must provide and pay for the training of software and hardware unique to their district.
· As a shared employee, the district understands the employee is entitled to sick, vacation and holiday time per the BOCES contract.
· While BOCES will provide an internet-based VoIP phone and voicemail, the district should identify a land line that the FTE may use in instances of technical difficulties.
Our service fee includes:
· Standard costs of employment for the duration of time contracted, including: salary, benefits, FICA, unemployment and workers compensation insurance and the NYS retirement system.
· Costs associated with standard computer hardware and software including a laptop, CD/DVD burner, flash drive, Microsoft Office, Adobe Photo Shop and PDF Writer.
· E-mail account and server storage for the files created.
· A digital still camera and digital video camera available for use by the FTE.
· A VoIP Soft Phone and telephone number for the FTE to use.
· Standard office supplies (such as pads of paper, pens, stapler, post its, editing flags, highlighters etc…)
· Up to four hours of graphic design assistance, per year, at the FTE's direction for your projects.
· Postage costs regarding district projects and/or employment up to $50.
· Mileage costs for travel within the district, or for projects for the district up to $150.
· Staff development at Erie 1 BOCES including professional association fees and training on the standard hardware and software noted above.
· BOCES supervisory costs and office support associated with employment at Erie 1 BOCES (ex: consultation, supervision, out of office coverage, attendance requests, processing payments, monitoring processes/procedures, annual evaluations, etc…).
·The fee may be prorated based on the timing of the contract. This will only be done on a quarterly basis. For example:
- Full school year (July 1, 2020 until June 30, 2021) - full service price as listed.
- 75% of the school year (Oct. 1, 2020 until June 30, 2021) - 75% of the price listed.
- Half of the school year (Jan. 1, 2021 until June 30, 2021) - 50% of the price listed.
- 25% of the school year (April 1, 2021 until June 30, 2021) - 25% of the price listed.
After Hours Coverage for Special Events- Our office hours, as contracted with our union, are 8 a.m. to 4 p.m. However, we understand that sometimes emergencies and important events occur. That's why each year, your school district is allowed five (5) hours of overtime. Should that amount be exceeded, two (2) instances of special event coverage directly before or after your FTE's normally assigned time may be considered. These hours must be added to your FTE's normally assigned break time within two weeks of the event occurring. The time should not to exceed 2 hours in total. All after hours requests must be arranged, preferably a month in advance, with your .2FTE. Should your .2 FTE not be available, despite the one month advanced notice, another representative from the communications office could attend in their place.
Switching A Day - Since we are a cooperative, we appreciate your understanding if you or another school district needs their shared FTE to switch a day. Any changes will be discussed in advance, preferably one month ahead of time, to ensure a request will not disrupt your service. Priority will be given to the long-standing project deadlines.
