Quarterly Administrative Revisions - Level 2
In addition to receiving Administrative Updates, districts will receive an email notifying them that the quarterly summary of suggested revisions to sample regulations and/or forms may be viewed in the SharePoint platform. These recommended revisions to existing district regulations and/or forms based on review of law, regulation and guidance impacting existing Policy Services' sample regulations or forms. Revised regulations and/or forms will be included with the quarterly summary with changes highlighted in the text of the regulation for ease of review by the district administrative team. This service provides information to districts to assist them with updating and maintaining their own Administrative Manuals.
Four times per year, districts will receive an email notification announcing that three documents relating to the Quarterly Administrative Revisions are available to be viewed on the Policy Services SharePoint Platform:
- A cover letter explaining the rationale for each administrative revision;
- A "tracked" copy of each regulation, and/or form for easy review;
- A "clean" copy of the same regulations and/or forms for ease of district editing and printing (cut and paste newly adopted/revised language into existing regulations and/or forms within the Administrative Manual).
The district will provide Erie 1 BOCES Policy Services staff with current contact information (the full names and titles, telephone numbers and e-mail addresses) of up to three designated district officials who should receive notice of the Quarterly Administrative Revisions and Monthly Administrative Updates. The district must contact Policy Services immediately if this information changes to ensure uninterrupted receipt of the Quarterly Administrative Revisions and Updates.
This service is designed for districts that maintain their own Administrative Manuals. The combination of the Monthly Administrative Updates and Quarterly Administrative Revisions will enable districts to keep the manuals up-to-date following the development of a new Administrative Manual. Districts should develop and follow a system of periodic regulation, procedure and form review upon receipt of the Quarterly Administrative Revisions and the Monthly Administrative Updates to ensure that the Administrative Manuals remain compliant with law and regulation.
Policy Services will send an email notification announcing the Quarterly Administrative Revisions to alert districts to the most important changes in state and federal laws and regulations affecting existing district regulations, procedures and/or forms. Policy Services provides guidance and instructions to assist districts in updating and maintaining their Administrative Manual using Quarterly Administrative Revisions. Each district will also be assigned a specific policy coordinator who will be available to answer district questions or supply sample regulations or forms as requested.
